Information We Process for Clients
ATC Nexus provides services to business clients, including automated lead capture, follow-up, appointment reminders, missed-call text-back, AI voice receptionist, database reactivation, seasonal campaigns, referral systems, reporting, and related automation and communication services.
In providing those services, we may process information about our clients’ customers, leads, prospects, and contacts on behalf of our clients. This may include names, phone numbers, email addresses, appointment information, communication history, call transcripts, AI interaction data, lead status, and related business information.
When we process information on behalf of a client, the client is responsible for its own privacy notices, consent practices, customer relationships, communication content, recipient lists, and legal compliance obligations. Client Communications. Some calls, texts, emails, AI voice interactions, or other communications may be sent or facilitated by ATC Nexus on behalf of our business clients. In those situations, the client is responsible for the recipient list, message content, required consents, opt-outs, and legal basis for the communication.
AI Voice Receptionist and Automated Communications
Our services may include AI voice receptionist, virtual assistant, automated communication, speech-to-text transcription, SMS, email, chat, and similar communication technologies.
If you call a business that uses ATC Nexus services, you may interact with an AI, automated, or virtual assistant. The AI Voice Receptionist may answer inbound calls, assist with scheduling, collect caller information, take messages, generate written call summaries or transcripts, and notify the business owner or designated contact to follow up.
ATC Nexus recommends that AI voice receptionist systems identify themselves at the beginning of the call as an AI, automated, or virtual assistant for the business. For example, the assistant may say that it is the business’s virtual assistant and can help schedule, answer basic questions, or take a message.
Unless otherwise configured or disclosed, ATC Nexus’s standard setup does not intentionally record or store call audio. However, the system may use speech-to-text transcription or similar technology to understand and respond to callers and to generate written transcripts, summaries, or interaction records.
Emergency-keyword handling is intended to collect the caller’s name, callback number, address, and related details and notify the business owner or designated contact to follow up. The AI Voice Receptionist is not an emergency response service, dispatch service, medical service, legal service, or substitute for calling 911 or other emergency services.
A2P 10DLC, SMS, and Carrier Compliance
ATC Nexus may assist clients with SMS messaging, A2P 10DLC registration, and related telecom or carrier requirements. Information provided for these purposes may be submitted to third-party platforms, aggregators, carriers, telecom providers, or registration systems as reasonably necessary to support messaging services.
SMS opt-in information and consent data will not be sold, rented, or shared with third parties or affiliates for their own marketing purposes. SMS opt-in information may be shared with service providers, telecom providers, carriers, aggregators, and platform providers only as reasonably necessary to provide, administer, deliver, support, secure, or document messaging services.
How We Share Information
We do not sell personal information.
We may share information in the following limited circumstances:
- (a) Service Providers. We may share information with vendors and service providers that help us operate our business and provide services, including website hosting, automation platforms, communication tools, telecom providers, payment processors, analytics providers, AI tools, email and SMS platforms, customer-management systems, and other technology providers.
